Day To Day Management

Once your tenant has moved in, Vicary & Co can take care of your property, tenancy arrangements and your landlord duties throughout the tenancy and beyond.

Rental Payments

Vicary & Co offer a Rent Collection service as part of its Fully Managed Letting Service, and with its Tenant Find and Rent Collection Service.  We collect the rent monthly on the tenants Rent Due Date.  Occasionally, tenants may experience financial difficulties and our rent collection service includes chasing any late payments.  We will notify you at the earliest opportunity of any rent arrears.

We aim to pay the rent to landlords within 7 days of receipt of tenant rental payments into our Client Account.  Payment to landlords is by BACS, and we provide monthly income and expenditure records.

Inspections, Maintenance and Repairs

The practicalities of being a landlord can be very time consuming.  With Vicary & Co’s Fully Managed Letting Service we take care of all the day to day management and upkeep of your rental property.  We carry out regular, quarterly inspections: this will involve visual inspections to check if there are any issues or concerns that require your attention.  We also seek to ensure that the tenant is abiding by their agreement and not damaging the property.  We will advise you by way of a written report, and photographs if required, of any concerns brought to our attention by the tenant, or that we identify.

Depending on our agreement with you, we can arrange for safety checks, repairs or work to be carried out at the property, with the relevant invoices being deducted from the rent received.  We ensure that the contractors we use have current Certification for their Regulation body, Public Liability Insurance, Health and Safety, and if they have certificates for awareness received with the Risks associated with Asbestos.

Tenancy Renewals, Reviews and Notices

From June 1st 2019, Landlord and Agents are prohibited from charging Tenants for Tenancy Renewal Fees. Where Landlords specifically request a Tenancy to be renewed for a further Fixed-Term, the Landlord will be charged a fee. If you decide to increase the rent we will issue the relevant notice informing your tenants. If you wish to end a tenancy, we will serve notice to your tenants in line with all legal process and timing requirements, and manage the end of tenancy administration.

Tenancy Check-Out and Deposit Returns

At the end of the tenancy Vicary & Co can ‘check-out’ your tenants, using the original Inventory of Contents and Schedule of Condition as reference to ensure that the property is in a good, clean condition.

We also take the relevant meter readings, and ensure that all tenant’s keys have been returned to formerly take possession of the property. Assuming that there are no issues, the deposit is returned to the tenants, but ONLY with written consent from the landlord. The relevant utility companies are also notified.

Unoccupied Property

Vicary & Co are not responsible for the maintenance and repair of your unoccupied property, unless we have agreed otherwise in writing. The landlord is responsible for ensuring that mains services are turned off and that insurance companies are informed the property is empty.

We advise that the landlord check with their Buildings Insurance Company to check that they have the correct policy for the period the property is unoccupied.

Vicary & Co are, however, happy to carry out property checks on your unoccupied property for a cost per visit, to ensure that there are no plumbing issues or leaks, that the property is fully locked and secure, with no signs of any attempted break-ins, and during the winter months that the property is being kept at a temperature to avoid freezing.
